We're Hiring: Operations Manager

About Us: Ground Up PDX is a small-batch nut butter company that employs womxn overcoming adversity to provide them with job skills and training to get back on their feet. We produce peanut-free, honey-sweetened nut butters in flavors such as Cinnamon Snickerdoodle and Coconut Cardamom with chia seeds. Our products are sold in New Seasons, Whole Foods, Fred Meyer, and other PNW retailers, along with significant business through ecommerce.

As our Operations Manager, you are a leader who loves building community and will be responsible for managing the day-to-day operations of the Ground Up production kitchen and warehouse. You pull together all of the pieces of the puzzle, from production to staffing to order fulfillment – you have insight into it all and help to ensure it’s all running smoothly. This is a full-time, salaried role based in Portland, Oregon at our HQ site.

Responsibilities include:

    TEAM MANAGEMENT
      • Manage our operations team and training program (10-12 people)
      • Oversee staffing, scheduling and communication to ensure we have the staff in place to achieve our operational goals
      • Hire, train and onboard new team members
      • Monthly performance evaluations with each employee with a focus on professional development
      • Supervise and motivate team on a daily basis to ensure that they are meeting goals and expectations
      • Cultivate positive team culture
    OVERSEE PRODUCTION PROCESS 
      • Set production plan each week and communicate to the team
      • Lead morning team huddles and set objectives for the day
      • Maintain orderly and prioritized workflow of operating procedures
      • Work with Assistant Operations Manager to order supplies, forecast raw materials and negotiate contracts and pricing
      • Ultimate goal of lowering our COGS and ensuring we’re operating as efficiently and cost-effectively as possible
    KITCHEN SANITATION & FOOD SAFETY
      • Understand, communicate and facilitate a safe work culture, ensuring compliance with all company safety/environmental and housekeeping policies
        Ensure sanitation practices and record keeping are maintained to hygenic food safety regulatory expectations
        Update HACCP plan according to production changes
        Attend trainings on kitchen sanitation and protocol to stay up to date with current requirements and regulations
    QUALITY CONTROL & TASTE
      • Develop workflow policies and procedures that improve efficiency without compromising safety or quality
      • Responsible for the quality control aspects of raw materials and finished products through active sampling
      • Develop workflow plans for product inspection and follow up with the appropriate channels when mistakes are found

    PRODUCTION PLANNING & PROCUREMENT

      • Plan and organize the weekly production schedule
      • Review production forecasting, inventory, product launch schedules and special promotions on a weekly basis. Adjust production plan as necessary.
      • Conduct frequent inventory counts for product and supplies
      • Lead production planning meetings with other stakeholders
      • Procurement of all Raw Materials

    ORDER MANAGEMENT & FULFILLMENT

      • Supervise the fulfillment of all orders leaving the warehouse, including wholesale, grocery, pallet orders, corporate gift orders and online orders in a timely and accurate manner
      • Work with online and wholesale customers to communicate delivery dates, send invoices and confirm orders
      • Manage distributor relationships and freight communication
    WAREHOUSE EFFICIENCY
      • Oversee warehouse operations, including shipping, labeling, wholesale order fulfillment, grocery orders, pallet orders, supply ordering, tasting, flight creation, etc.
      • Ensure warehouse organization and cleanliness
      • Maintain adequate stock of warehouse supplies
    SEASONAL FLAVOR PRODUCT MANAGEMENT
      • Work with co-founders and marketing team to execute seasonal flavor launches, managing deadlines and ensuring everything happens to meet them. This would include sourcing, recipe refinement, launch details, communication with brand / influencer partners, etc. 

      Skills:

      • Supreme multitasker who strives working in a fast-paced environment
      • Must be adaptable and open to unforeseen changes
      • 1-3 years of leadership + management experience required
      • Must have prior experience in manufacturing + production
      • Must be able to lift 25lbs and stand on your feet for 8 hours per day
      • Must be proficient in excel
      • Must be a problem solver
      • Forklift Certified (optional)
      • Ideal candidate brings has trauma-informed training and experience working with diverse population

      Salaried Position, 40-45 hrs per week (Mon-Fri). 4 day workweek (Mon-Thurs) in the summer.
